Coverage describes whether a source class is available for a jurisdiction and retained window. It does not certify completeness, market inventory or the absence of records outside Acren’s accessible scope.
Four availability states
| Field | Value / state | Reading |
|---|---|---|
| Loaded | Normalized records available | Still bounded by source window |
| Partial | Some records or fields available | Do not treat as complete |
| Official link | Pointer to authoritative system | Underlying record is not retained |
| Not loaded | No accessible normalized source | Not evidence of no record |
| Record class | Availability | Refresh | Authoritative system |
|---|---|---|---|
| Assessment roll | Loaded | Annual | County assessor |
| Parcel geometry | Loaded | Periodic | County GIS |
| Recorded instruments | Partial | Varies | County recorder |
| Entity registrations | Loaded | Periodic | Secretary of State |
| Building permits | Partial | Varies | Municipal system |
| Court dockets | Official link | n/a | Court system |
Four availability states change the workflow differently: loaded, partial, official link, not loaded.
Illustrative coverage states; the current registry is authoritative for each jurisdiction.
Geography and freshness are separate dimensions
A market is a defined group of counties, while the state row is an orientation context. A loaded state value must not be read as a market count, and a market profile must not imply every county has the same record readiness.
Refresh dates, retained windows and record classes determine what can be found. When a field is missing, the product keeps the missing state visible instead of substituting a neighboring jurisdiction or an estimate.
Before expanding a search
- Confirm the counties in the target market.
- Inspect readiness for the record classes your question needs.
- Check the observed date and retained window.
- Use the official system when it remains the authoritative next step.
